Manage incoming phone calls, mail and correspondence, responding to routine items, sifting and prioritising, and drafting responses for non-routine items. Provide a first line response for Construction/Alliance communications. * Manage and co-ordinate the team diaries and schedules, ensuring that priority engagements are accommodated, that sufficient time is allocated for preparation, and that the necessary travelling and accommodation arrangements are made to facilitate the optimum use of their time, and that the itinerary is always clearly communicated to all relevant parties. * Collate and prepare letters and reports for internal external publication. * Organise various meetings, briefings and events as required, including arranging the venues, catering requirements and all aspects of the events. * As required provide support to administer Construction/Alliance data bases, information, reports and documentation as required by the team. Ensuring that access to the up to date information is available at all times. * Ensure that all requests, orders, invoices are progressed in a timely manner, complying with all procedural requirements and internal audit regulations. * Provide a minute taking and distribution service for key meetings as required, including agenda and information preparation. * Co-ordinate the flow of information, communication and knowledge between Construction and Alliance Partner organisations. * Support and work with fellow team members to ensure that the movements and activities of Construction are co-ordinated and maximise their impact on business performance. * Undertake various responsibilities and tasks to meet the needs of Construction/Alliances, which could include various assignments, providing cover for team members during leave. * Ensure that internal and external perceptions of Construction are managed and protected within favourable boundaries wherever possible, maintaining confidentiality wherever appropriate. .
