This is varied and interesting role, supporting academic colleagues and liaison with students and various administrative functions throughout the School. Strong organisational and administrative skills are required, with the ability to work on your own initiative.

Responsible to: The Dean of School, through the Subject Group
Head and the Director of Administration
Main Objective of the Post
To support the Subject Group Head in the administration, planning and day-to-day operation of the Subject Group and to initiate, implement and monitor systems to improve these operations.
Duties and Responsibilities
Develop and monitor implementation of a ‘year planner’ for the Subject Group with the dates of major events (teaching and examination periods, marking deadlines, Examination Boards, deadlines for teaching allocations and planning adjunct staff allocations, staff performance reviews). This document will act as a major planning tool within the Subject Group.
Responsible for organising the assessment process within the Subject Group. For example, liaising with academic staff to prepare and ensure the accuracy of examination papers within prescribed timescales, entering assessment marks onto a spreadsheet, and checking their accuracy. Acting as a point of contact for assessed coursework (both the receipt from and return to students).
Arrange and act as Secretary to Subject Group planning and pedagogical meetings. This will involve preparing notes, following up actions and carrying out some actions yourself.
Responsible for managing the process of preparing teaching materials for modules offered by the Subject Group in hard copy and in electronic form, and assuring and enhancing their presentation (e.g. recommending presentation standards). For example, typing/formatting student manuals and other teaching materials, ensuring that the correct number of manuals are available at the correct time, adding/updating material in electronic form to the School’s Virtual Learning Environment, Blackboard and reporting on the presentation of Blackboard within the Subject Group to identify whether this is consistent with Group and School standards.
Support the Subject Group Head in the annual allocation of duties to staff within the Subject Group and of resources. For example:
Assisting the Subject Group Head in the process of raising contracts for associate staff and entering information on the associate staff database;
Monitoring staff development processes (e.g. performance review, mentoring, staff Personal Development Plans);
Updating the School’s workload model for the Subject Group.
Support the Head of Group in preparing and organising approval for project supervision and second marking, in conjunction with the Subject Group Head and the School’s Programme Offices.
Provide general support on research-related issues within the Subject Group, as may be agreed. For example, by assisting in the organisation of conferences and seminars and managing postal surveys.
In conjunction with the Subject Group Head and other staff as appropriate, responsibility for co-ordinating the induction process for new members of staff within the Subject Group. For example, preparing and monitoring actions relating to the induction form as well as carrying out some induction.
Providing information and support to undergraduate and postgraduate students of the Subject Group.
Providing secretarial services to members of staff within the Subject Group. For example, photocopying, typing, using fax machine and general duties, dealing with mail, arranging meetings, keeping diary of staff movements, external liaison with sponsoring organisations.
Other duties, commensurate with the grade and nature of the post, as might be allocated from time to time. This may include taking on some School-wide roles: e.g. committee servicing.
Essential Qualifications
Good general standard of education (GCSE Maths and English grades A-D) or equivalent. RSA stage II word-processing (parts I and II) or equivalent)
Desirable Qualifications
RSA Stage III typing/word-processing or equivalent.
Degree or professional qualifications or equivalent relevant experience in an administrative capacity.
Essential Skills and Knowledge
Ability to communicate clearly in writing and orally.
Excellent interpersonal skills to establish good working relationships with academic and administrative staff and students.
Ability to use office technology effectively, particularly word processing packages and e-mail.
Good working knowledge of Microsoft Office and e-mail packages.
