Office Manager required for immediate interview at our expanding, successful client based in Rodley, Leeds.
Prime Objectives of the Post:
To effectively manage the daily running of the Office, including co-ordination and supervision of the Admin Team and liaison with staff with regard to project management. To ensure that all procedures and processes are followed and information is logged appropriately.
Main Tasks:
1. Manages and co-ordinates all aspects of facilities management, including administrative and organisational planning to ensure that the workload is managed within the timeframes agreed and identified and to the appropriate standard.
2. Prioritises office workload and that of the Admin Team, as appropriate to meet client expectations and that of the Directors.
3. Supervise ‘Work In Progress’ and ‘Maintenance’ files to guarantee all procedures are followed and kept up to date until project completion, troubleshooting any areas of concern.
4. Ensures that ongoing work is monitored to a high standard, flagging up issues and concerns to Surveyors or Directors to ensure that standards of quality and ‘right first time’ guarantee a smooth project completion.
5. Identifies team priorities and manages staff outputs to ensure that deadlines are met.
6. Ensures that appropriate systems and processes are in place and adhered to at all times.
7. Manages staff holidays to ensure that sufficient cover is provided for schools at all times.
8. Creates a supportive team environment to ensure that staff are able to reach and sustain their full potential.
Knowledge, Skills and Experience:
· Minimum of 5 years relevant office experience – 2 years in a managerial role
· Must work on own initiative, self sufficient with good organisational skills, flexible and able to work as well as part of a team
· Problem solving and lateral thinking
· Typing – min’ 30/40 wpm
· MS Office – Essential: Word, Excel, Outlook
· Minimum of 2 years experience of staff management: Delegation, organisation and motivation, ability to assist with appraisals and recruitment.
· A ‘hands on’ approach to the workload, you will be expected to work with the team on a daily basis to complete the appropriate tasks. This is not a solely managerial role.
· Excellent customer care and Telephone Skills
You must be very methodical and have excellent attention to detail with the ability to think on your feet under pressure. Experience of managing administration staff is essential.
