    Hostel Administrator

    Do you have experience dealing with vulnerable groups or vulnerable people?? We need confident and assertive candidates for a busy and varied role in LS5. You will be dealing with a wide range of residents, some with very poor English and so patience will be essential. It will also be very useful, though by no means essential, if you spoke other languages. You should have a strong background in admin and a professional and personable manner. We offer a competitive salary £13000-15000 and excellent benefits

    Job Purpose

    • To ensure all administrative tasks are carried out for the hostel(s).
    • To support and work with the Manager, ensuring all operational procedures are adhered to and targets are met

    Job Responsibilities

    General
    • Perform all general administrative duties, including –
    o Writing letters/memos/reports/other documents
    o Faxing.
    o Photocopying
    o Filing.
    o Telephone.
    o Monitor and distribute post received and ensure post is sent daily
    o Maintain computer systems
    o Use e-mail system
    • To be the first point of contact, by phone or in person, for the hostel(s). Make sure telephones and queries are answered in a professional manner or where necessary any messages passed to appropriate person
    • To manage the office in the absence of the Hostel Supervisor
    • To manage the office supplies and equipment
    • Manage the staff attendance signing “in and out” procedure and liase with London head office regarding timesheets and rotas

    Specific Operational Support
    • To liase with the Manager on all operational and support issues
    • To maintain and secure all Service User files. Attach fax confirmation to all documents filed.
    • To prepare welcome packs for incoming Service Users
    • To fax purchase requests to London and maintain records, including petty cash
    • To prepare and fax, all documentation as appropriate to given timescales
    • Maintain a monitor of Service User absence from property
    • Maintain written log of all Service User complaints. Monitor action taken to resolve complaints and liase with head office on any necessary interviews and reports
    • To assist with Anti-Social Behaviour interviews when required
    • Dealing with voucher queries
    • To assist clients within the hostel and provide any relevant information required
    • To update service users notice boards on a daily basis
    • Deal with general enquiries
    • Maintaining Stock control records
    • Assist service users with their emergency needs. E.g. Hospital, G.P. and Dentists etc.
    • Assist in mediation/Translation requirements.
    • Be an out of hours point of contact for emergencies
    • Liase with Head office and Refugee Council on an ongoing basis and providing information as and when required.
    • To carry out other responsibilities and activities as required by management
