    ESTATE AGENCY BRANCH MANAGER

    We need excellent people managers with at least three years estate agency experience for one of our busiest branches in Crossgates, LS15. Working 9-17:30 Monday to Friday you can expect a salary of £20000-22000 with an OTE of around £26000 plus 25 days holiday and extensive benefits.

    PURPOSE OF THE JOB:

    To manage the Estate Agency Branch and to carry out Estate Agency work at the direction of and under the specific supervision and control of the firm’s Partners.

    EXPERIENCE AND KNOWLEDGE:

    Previous experience of sales negotiation in an estate agency or senior experience in a relevant customer services industry.

    Developing managerial skills.

    Working knowledge of the firm’s objectives and policies; their application to the job; the firm’s emphasis on client care and adherence to quality assurance standards, particularly Investors in People; and working knowledge of other administrative and personnel practices and procedures (including record keeping) within the firm as set out in the firm’s procedure manual.

    Sound knowledge of the firm’s offices, and the personnel of the firm and their particular specialisms and of the firm’s management structure.

    Working knowledge of operation of office equipment and knowledge of operation of postal systems including DX systems.

    SKILLS AND PERSONAL QUALITIES:

    1. SELF-MANAGEMENT

    2.2 The development of good working relationships including the integration of new members of staff through effective induction and support, promotion of the firm’s values, the building of good reporting relationships and keeping people informed, the giving of recognition and the encouragement of an “open environment”, improving counselling skills, the minimisation and resolution of conflict, and the promotion of equal opportunities in line with the firm’s policy in this respect.
    2.3 The ability to supervise staff and delegate work effectively and to build a disciplined and focused team in order to achieve the firm’s objectives and branch targets.


    3. CLIENT RELATIONSHIPS

    3.1 Skills in the management of client relationships including the planning and recording skills required to meet clients needs, the provision of a quality service in accordance with the firm’s quality assurance standards, and the provision of a client focused service in line with the client’s needs and requirements.

    4. CASE MANAGEMENT AND RISK

    4.1 Ability to take instructions and to maintain, progress and close files in accordance with Law Society, statutory and regulatory requirements and the firm’s case management system; and to deal with any complaints in accordance with the firm’s documented procedures, and Law Society and statutory requirements.

    5. MANAGEMENT OF THE OFFICE


    5.1 Skills in administering and organising the office, and undertaking responsibility for specific administrative matters as specified by the Partners.
    5.2 Ability to introduce, implement, review and evaluate changes to the development of the office including the ability to negotiate compromise and agree planned change in line with the strategy of the practice.
    5.3 Ability to achieve the business objectives and targets relating to the estate agency branch as specified from time to time.

    PRINCIPAL TASKS:

    1. To place properties on the market for sale and to fully use the firm's estate agency case management system in order to progress the sales of residential properties expeditiously and efficiently as directed by the Partners.
    2. To use all reasonable endeavours to achieve such targets (including, but without limitation, the making of mortgage appointments for the Financial Services department) as may be prescribed from time to time by the Partners.
    3. To promote personal self-development and self-management and to promote the firm’s values and culture of client care in order to lead the estate agency branch by personal example.
    4. To administer and manage the estate agency branch including effective staff supervision and teamwork in order to create and develop high quality relationships with the firm’s clients with a view to the achievement of a successful and profitable office.
    5. To comply with all office procedures and standards and effectively maintain files and handle cases in accordance with Law Society requirements, relevant quality assurance standards and the firm’s procedures as set out in the firm’s policy and procedure manuals under the specific supervision of the Partners.
    6. To negotiate, secure and complete the firm’s residential property sales and purchases.
    7. To provide a high quality service to customers of the estate agency both on the telephone and in person. To take and record accurately any messages and to deal with the same without unnecessary delay.
    8. To provide a point of contact for customers of the estate agency and conveyancing clients of the firm and to deal with their enquiries expeditiously either directly or by referring them to the relevant person.
    9. To deal accurately with filing/storage and retrieval of client files in line with the office filing system.
    10. To make appointments, arrange meetings and viewings, maintain an up-to-date diary and to maintain all inputs required for the estate agency case management system efficiently and effectively.
    11. To use correctly and cost efficiently the franking machine, recorded delivery labels, and postage stamps on all outgoing post and cost effectively to correctly identify and differentiate between DX post, and Royal Mail Post.
    12. To use the printing and photocopying equipment to achieve copies of a high standard and in a cost effective manner.
    13. To ensure that all outgoing correspondence and documents are neatly and attractively presented and bound in line with the firm's "house style" and the requirements of the practice.
    14. To carry out correctly the prescribed procedures for document and file storage and closing files.
    15. To assist the Partners in the administration and running of the estate agency including the preparation of statistics and other management information as directed.
    16. To supervise and manage all the branch office sales staff, including the arrangement of cover for holidays and sickness
    17. To prepare, serve and tidy away refreshments as and when required for customers and to maintain a clean and tidy kitchen.
    18. To ensure the confidentiality and security of all practice and client's documentation and/or information.
    19. To take instructions and to seek guidance and assistance from the supervisors and the Partners whenever required.
    20. To undertake any specific training or refresher course as and when required by the supervisor or the Partners.
    21. To undertake any other duties which may from time-to-time be allocated.
    22. To provide holiday and sickness cover upon request.
