    We are currently seeking an experienced administrator for this busy and challenging role, you will be working for a car garage based just outside Leeds city centre. The successful applicant will be working as part of the new car sales team, providing administrative support. Applicants must have administration experience ideally gained within the motor industry.

    Duties will include:-

    Customer Care - Admin

    Maintains and develops good relationships with internal customers by meeting and exceeding their expectations and working in accordance with the dealership procedures.
    Maintains all pre registrations ie taxing, transferring to used & transporters to bracnches
    Accurately inputs customer information onto the Ford/Elite database.
    Checks all vehicle paperwork before producing invoices for customer orders.

    Reception

    Meeting and greeting Dealership customers and offering advice on the location of appropriate Dealership services
    Answers telephone enquiries promptly and politely
    Records customer telephone enquiries for vehicles and distributes fairly to all salespeople
    Communicates information accurately and professionally to all customers and departments
    Ensures the showroom crockery and cutlery is clean and tidy and supplies of refreshments are continually available
    Covers switchboard for breaks/dinner Wednesday PM - Thursday and Friday. Works 1 in 4 Saturdays on a rota basis 8am - 1pm

    Administration

    Distributes all internal mail security bags to Parts.
    Completes vehicle searches in NVMA, accurately enters stock numbers and location, on Firm Invoices (Commercials). Set up vehicles which are not on file. Enters invoice prices in VADO and files in chassis number order.
    Accurately and promptly completes vehicle searches in NVMA enters stock numbers and locations on credit notes (Commercials). Reverses costs and deletes from stock. Attaches firm invoices and files away accurately
    Whilst on reception, ensures messages are accurately recorded and relayed to the appropriate personnel / department
    To learn all aspects of commercial admin and provide cover when the commercial administrator is away on holiday or off due to sickness
    To accurately complete the full 15 day check for Commercial vehicles
    Prepares new vehicle invoices for the CMA
    Creates handover documentation and book packs
    Accurately completes all warranty GAP/VRI documentation for the CMA
    Maintains all deal files and checks for accurate completion of new vehicle check sheet
    Logs and sends handover packs/completed invoices and AFRL documents to the CMA admin departments on the required delivery date. Sends a confirmation e mail with security bag details and contents to the appropriate people in the CMA
    Prepares new vehicle invoices and prices vehicles for the Retail Dealers
    Accurately completes the banking daily and enters on the elite system. Clears banking daily and ensures all sheets are up to date and clear by the month end
    To AOS all registered vehicles for the CMA/Retail Dealers and print copies. Attach to AFRL certificates and log all registrations on the monthly log. Send log to Jussa each Friday and hourly on the last 2 day of the month

    General

    Complies with all Health and Safety legislation to ensure safety and well being of self, colleagues, customers and visitors
    Understands own responsibilities for health and safety at work.
    Accepts training in basic health and safety awareness and the specific risks and controls in their workplace, and adheres to the training outcomes and requirements.
    Reports promptly to management any matters which may affect health or safety at work
    Ensures the maintenance of all equipment and other materials
    Maintains personal awareness of the company's quality procedures, described in the company's Quality Management System
    Completes any other Sales administration activities as specified by the Administration Supervisor.
