THE ROLE To review the mailbox and load Options Maintenance Requests (OMRs) received from Clients. To add the OMR to the Database and produce the hard copy folder. To review the Daily Change Mailbox and action Client and Team members e-mails. To produce and distribute daily reports and to scan and file completed requests. To implement OMRs as allocated. To verify the implementation of OMRs and to complete all documentation associated with the changes. ESSENTIAL SKILLS AND EXPERIENCE O Level/GCSE or equivalent standard in Maths and English Language Experience in customer liaison Experience in customer liaison The ability to prioritise a busy workload and progress several lines of work at the same time. Good time management skills and ability to respond to variable workloads The ability to communicate effectively with people at all levels on both a customer and client basis. Effective problem solving abilities. Proven ability to give attention to detail Strong customer focus Proficient in use and navigation of Microsoft Desktop Applications. ADVANTAGEOUS SKILLS AND EXPERIENCE Educated to degree level or equivalent in a relevant subject such as Management of Information Systems Experience of working with Mainframe computers Previous OMR experience Previous experience of working in the card environment in any area. SPECIFIC DUTIES Monitor the Mailboxes on a regular basis throughout the day. Identify new requests and load onto the database. Check OMRs for appropriate sign off. Produce a hard copy folder for each OMR submitted. Move completed emails to the specific client to named email folders. Provide the Client with details of the OMR tracking number. Assist the Options Analysts with the implementation of changes requests as required and requested by the Options Coordinator. Review the documentation of allocated OMRs for accuracy. Liaise with clients when necessary to clarify the details of OMRs. Implement changes as specified in OMR documentation, and following options management procedures. To act as one of a team of independent verifiers under the work distribution of the Options Co-coordinator to ensure that input errors on the keying in system are kept to a minimum and preferable eradicated altogether. To utilise and to assist in the input of changes and the production of statistics. To highlight and escalate problems associated with completion of OMRs and system anomalies. To scan all completed OMRs. File completed OMRs and maintains the filing system of completed hardcopy documentation. To produce and distribute end of day departmental reports To ensure client confirmations are recorded on the OMR Database and regularly advise clients of unconfirmed OMRs. To ensure attention to detail at all times and to minimise input errors. To manage and prioritise conflicting requests on their individual workload. THE PACKAGE Salary up to £20,000 pro rata Pension Scheme Life Cover Disability Medical Insurance Financial Services Lifeworks Holidays Share Incentive Plan Season Ticket Loan Scheme Membership Warehouse Club Free On-site Gyms KEY RESPONSIBILITIES To become an expert user and share knowledge and learning with all other users To assist managers in planning projects and using standard work breakdown structures and the relevant methodologies Review and monitor documents within project and programmes to ensure that project delivery standards are maintained and documents are fit for purpose Maintain a library of standard documents and archive existing project documentation Produce and distribute daily, weekly and monthly management information to all levels of the business and Clients Produce the Client Project Packs and ad hoc Management Information to provide an overview of activity across departments To develop and review documented standards for projects and programmes and ensure the standards are maintained through use of control measures Responsibility for identification of non-compliant projects and then ensuring that these are corrected in a timely manner Responsible for producing issue logs and updating for each major programme of work to ensure that the information is timely and accurate Produces and maintains weekly / monthly status reports for project team members and management To receive all work requests from clients and internal customers and update team plans to enable scheduling of projects Arrange meetings Organise Meet-Me Lines Maintain project mailboxes Collate customer feedback Produce minutes from project related meetings Identifies and highlights to the management team ways in which to improve the project process.
