Job Description
As the sole supplier to LTH NHS Trust for all their fixed term non medical staff, we are currently recruiting for a finance Officer to work on a 6-12 months contract basis. The role will be working full time, 37.5hrs, with the right candidate starting ASAP.
Job Purpose:
To produce and provide routine financial monitoring information, support and advice to budget holders, monitors and other finance colleagues within the Trust, acting as a link support person to a number of specified business units. This will involve performing routine core accounting tasks and responding to day to day queries in line with set timetables, procedures and quality standards.
Main Duties and Responsibilities:
a) Core reporting and accounting:
To produce monthly financial statements and associated information for a number of departments to an agreed timetable and in line with agreed processes and procedures, this will involve the following:
- Acting as a manual feeder for those areas of expenditure that do not have one e.g. internal SLAs, print unit recharges, transport recharges etc
- Correcting values in the general ledger, either where coding errors in feeder systems have occurred or because official feeder systems have not been used
- Performing variance analysis, identifying and investigating those codes which indicate an unexpected variance to budget or unlikely spend; raising issues as appropriate with the budget holder or with more senior finance colleagues
- Maintaining budgets in the ledger (current year and next year), ensuring all budget virements authorised are actioned appropriately and that supporting information is appropriately cross-referenced and filed.
- Adjusting values in the general ledger for accruals and prepayments, completing journals and correcting spend between codes as per the set procedures and policies and after gaining appropriate authorisation
- Producing reports outside of the general ledger making the appropriate use of spreadsheets and databases and distributing them in an appropriate format to users
- Carrying out general maintenance of the reports in line with departmental policy and as directed by senior staff.
- To act as the first point of contact for budget holders and monitors in terms of routine queries in respect of their financial information and day to day budgetary management responsibilities. This will also require the organisation of monthly budget holder meetings to discuss the month end financial reports in order to ensure their underlying accuracy and to deal with immediate queries. This will involve:
- Setting up meetings to ensure that the standards set for minimum frequencies are met
- Preparing in advance, ensuring that the meetings are documented and that the actions agreed are clear and then followed-up in a timely and appropriate manner
- Preparing any additional routine information required to highlight problems and opportunities, contributing to the understanding of non-finance colleagues.
- Liaising with budget holders to ensure income and expenditure is correctly coded.
- Reminding non-finance managers of the routine statutory financial regulations such as the use of Trust procurement systems.
To respond to requests for the financial assessment of routine proposals, costing each element of expenditure or income contained within the proposal, making appropriate use of spreadsheets and standard costing information and guidance: presenting the information in a clear and concise manner suitable for the recipient, advising budget holders of any potential issues.
