Job Description

We are currently recruiting for a Research Ethics Coordinator to work in the LS6 area of Leeds. The hours of work will be 18hrs PW, with one of those days being a Friday. The post holder will assist in the organisation and prioritisation of the Departmental team’s workload.  They will support and work with the Team in order to provide a comprehensive, high calibre administrative support to the Research Ethics Committee, ensuring the delivery of a coordinated and consistent operational management service within the guidelines of the Governance Arrangements for Research Ethics Committees (GAfREC), Directive 2001/20/EC of the European Parliament relating to the Implementation of Good Clinical Practice (EUD) and the national Standard Operating Procedures (SOPs). 

The post holder will be required to support and sustain the department’s practice reviewing and implementing agreed administrative protocols, processes and procedures in line with service needs.

The post holder must be able to communicate sensitively and effectively with a wide range of people including medical staff and colleagues.  They will support and administer processes to sustain the department’s practice through administrative protocols, processes and procedures in line with service needs.  The post holder may be required to cover for colleagues during absence and work flexible hours when necessary.  Your main duties will include:

  • Work closely with the Departmental team and other REC staff to ensure the delivery of a co-ordinated and consistent operational management service.
  • Support the work of the wider team by involvement in the establishment, review and monitoring of practice and office systems.
  • Respond to written and telephone enquiries and personal callers in a polite and helpful manner, prioritising messages and taking responsibility for any follow-up actions.
  • Correlate, prepare and present departmental statistics on a regular and ad hoc basis.
  • Organise the venue, catering and car parking facilities for all REC monthly and Sub-Committee meetings.
  • Work with the REC Co-ordinator to prepare and compile agendas.
  • Circulate papers to members at least 7 days before the REC meeting.
  • Assist the Co-ordinators in identifying, organising and notifying REC members of training events and, where necessary, induction.
  • Participate in the rota for booking applications for ethical review to all Research Ethics Committees in the Yorkshire and Humber area.
  • Circulate training courses/conference flyers to members.

  • Deal with requests for training from members, making arrangements for registration, travel and accommodation as necessary.
  • Monitor members' attendance at meetings and length of service of members, updating the electronic/hard file as necessary.
  • Update members' personal details list.
  • Process members' expense claims.
  • Assist in the recruitment process of new members
  • Deal with enquiries from researchers by telephone, email, fax and post in a timely fashion and in accordance with SOPs. These are frequently non-routine enquiries from researchers of all grades or from external organisations and which may require interpretation of complex legal and guidance documents.
  • Advise applicants which documents are needed before an application can be accepted and give advice on the electronic application form.
  • Advise applicants on the process for seeking Trust Management advice and approval.
  • Acknowledge new applications, assist in the validation process and ensure that applications are entered onto the national database (RED).
  • Take and produce formal minutes to an agreed standard for Sub-Committee meetings within 5 working days of the meeting.
  • Produce the relevant letters notifying applicants of the Sub-Committee’s decision within 10 days of the meeting.
  • Filing and archiving of all projects in accordance with the Data Protection Act (DPA) and the Freedom of Information Act (FOI).
  • Maintain the data relating to Leeds (West) REC on the national database (RED).
  • Implement a system for ensuring that all annual and final progress reports are received within an agreed timeframe and deal with these accordingly.
  • Compose letters, memos etc.
  • Maintain a library of documents relevant to research, making them available to members as required.
  • Ensure that necessary paperwork is prepared to deadlines dictated by the meeting cycle.
  • Ensure all follow-up action is taken within the specified time-scales.
  • Assist in the preparation of the annual report and other reports as required.
  • Order stationery and goods as required.
  • Process invoices, ensure that they are correctly coded, signed off and sent for payment.
  • Attend and provide support at meetings as required.
  • Provide support and cover for other team members in their absence, in particular during periods of holidays and sickness, at any of the Yorkshire and the Humber sites.
