Job Description

We are currently recruiting for a receptionist to work full time in an ongoing temporary capacity. The role is working 8.30-17.00, Mon-Fri, with the right candidate starting ASAP. Job Purpose

To provide an efficient and professional customer focused front of house service to the clients and staff of the Trust.

To support the Business Support Manager in general administration duties to enable the efficient running of the Reception ensuring discretion and confidentiality at all times.

Key Responsibilities

Meet and greet all visitors to the HQ Building and signpost clients to the appropriate department.

Maintain cover on the reception at all times and ensure all telephone calls to the corporate teams are received and dealt with in a courteous and diplomatic manner.

            Transfer calls to the relevant staff and departments; take messages and pass information on to the appropriate people. In the main this will include dealing with staff enquiries but will also include calls from partner organisations and members of the public.

            Maintain an electronic contact database and distribution lists.

            Take bookings for meeting rooms using electronic diary.  Ensure that meeting rooms are tidy and that appropriate equipment and refreshments are available when required.

            Receive and distribute all daily post (internal and external) and faxes, and be responsible for ensuring that out going post is sent out on time.

            Provide administrative support to the Business Support Manager and Corporate Support Team, including word processing of letters, reports, memos etc, faxing and photocopying as required. Maintain the Head Quarters stationery stock. Carry out weekly stock checks ordering stock as required on a

weekly basis. Receive, check and distribute stock as necessary.

            Ensure that photocopiers / fax machines are well stocked with paper, replacing toners as necessary and completing usage forms.

Act as central information point for maintenance and suppliers, signposting where appropriate

Respond to alarm systems within the building ensuring compliance with local procedure notes.

            Assist the Nominated Fire Person with the fire drill and evacuations, ensure all staff evacuate the building, carrying out a check of all visitors at the designated assembly points.
