Job Description
As the sole supplier to the Leeds Teaching Hospitals Trust for all their fixed term non medical staff, we are currently recruiting for an admin assistant to work on a 6 months contract basis.
JOB PURPOSE
The post holder will provide a comprehensive secretarial service to the Infection Prevention and Control team. The successful candidate will support processes to sustain the department’s practice through administrative protocols, processes and procedures in line with service needs. They must be able to communicate sensitively and effectively with a wide range of people including patients, medical staff and colleagues. The Administrative Assistant may be required to cover for colleagues during absence and work flexible hours when necessary.
PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY
- Provide a high quality secretarial/clerical/administrative service including specialist word processing.
- Act as the front line for telephone callers and visitors to the department and will be required to answer the main office telephone and deal with callers appropriately and sensitively.
- Arrange individual and team meetings, book venues and ensure collation and distribution of papers as appropriate.
- Required to take minutes at meetings
- Manage and maintain the diaries of senior members of the team.
- Maintain appropriate record systems.
- Responsible for the monitoring, maintenance and ordering of office supplies. This will include visits to the SJUH office to check and maintain stock levels.
- Undertake administrative work as required by the Infection Prevention nurse team including travel arrangements for team members
- Respond to written and telephone enquiries in a polite and helpful manner, prioritising messages and taking responsibility for any follow up action.
- Assist the team with campaigns and study days as appropriate.
- Provide assistance and support to clerical or trainee staff and to new/temporary staff.
- Comply with the requirements dictated by regulatory bodies and their code of practice throughout all disciplines in the CMT, the Leeds Teaching Hospitals Trust and the NHS.
