Job Description

We are currently recruting for an Assistant Board Secretary to work for one of our NHS Clients. The role is working full time, 37.5hrs, with the right candidate starting ASAP.

Job Purpose

1.      To deliver an efficient and effective secretariat service to the Board, to its sub-committees, ensuring they run effectively and working closely with committee chairs and executive leads

2.      To provide support, guidance and cover to those staff who service sub committees of the Board.

3.      To contribute to the overall work of the Corporate Directorate in ensuring that organise operates to the highest standards of internal governance.

Key Responsibilities

 To undertake the role of secretary to the Board and its sub-committees ensuring that the before, during and after stages of all meetings, workshops and seminars are efficiently and effectively serviced. Ensure that all minutes are produced in a timely and accurate manner, and to a high standard.

To provide proactive guidance and cover for the staff who service the other sub-committees of the Board.

To provide advice and support to directors and senior management in the development of papers, reports and other material for statutory meetings.

Advise the Chair, Non Executive Directors and other colleagues on adherence to Standing Orders and Standing Financial instructions. Ensure the Board, and other committees operate, in a manner consistent with the standards on openness and accountability and the Freedom of Information Act.

Provide advice and guidance for organisers of sub-committee meetings and other governance structures.

Co-ordinate the forward planning of Board and other committee business, including compilation and issuing of agendas, giving notice of public meetings, arranging for Board papers to be placed on the website and making other associated arrangements.

Develop and maintain an annual work plan for the Board and sub committees in conjunction with the Chair.

Develop (in conjunction with the Director) annual timetable for production and distribution of agendas and papers.

Arrange venues, catering and other supports (e.g. presentation equipment) for Board and other committee meetings, ensuring that the Board and other committee meetings operate efficiently and effectively in a manner consistent with the standing orders and meeting protocols.

Receive, collate and distribute agenda and meetings papers for Board and other committee meetings in accordance with the annual timetable, again ensuring that the Board and other committee meetings operate efficiently and effectively in a manner consistent with the standing orders and meeting protocols.

Proactively publicise Board meetings and encourage public engagement with the governance process.

Develop and monitor a system of follow up action after Board and other committee meetings, and ensure that the Directors and other staff are aware of this action. Works with and manages direct temporary and administrative staff as appropriate, establishing and maintaining ongoing contact and regular meetings to set and monitor objectives, performance and discuss personal development.
