Job Description
Part Time Assistant Secretary urgently required to work a job share at a corporate finance firm in Leeds City Centre.
You will work Wednesday, Thursday and Friday from 9-5.30 providing a secretarial/administrative support to a team.
Main Responsibilities
· Assistance to team members in the preparation (typing and graphics) of PowerPoint reports and pitch documents
· Providing diary management and managing external party meetings
· Typing and amending of letters and other documents as appropriate
· Attendance at team meetings, taking notes and action points as appropriate
· Maintenance of engagement letter and report files in accordance with established systems
· Accessing the team's emails and dealing with emails in their absence as appropriate
· Building a strong working relationship with clients
· Ensuring the firm's client service standards are met
· Dealing with telephone calls, specifically ensuring that messages are taken clearly and efficiently and responded to in a timely fashion
· Arranging and facilitating client meetings
· Organising travel plans, including booking of travel tickets, hotel bookings etc
· General admin duties including printing, scanning, photocopying and binding
· Provide marketing support to the team including assistance in preparation of mail shots, events, and marketing collateral
· Preparation and maintenance of budgets for events and assistance in organising events
Experience and Qualifications
· MS Office (Word, PowerPoint and Excel)
· Advanced PowerPoint skills an advantage
· Lotus notes (advantageous but not essential)
· Display confidentiality and diplomacy when dealing with sensitive material
· Possess an excellent telephone manner
· Have good inter-personal skills
· Show a positive approach to the role with a keen eye for detail
· To work to tight deadlines and under pressure when required
